The Niagara Falls, Ontario office is looking for a hardworking, detail-oriented and professional Administrative Assistant to join our Corporate Environmental Health and Safety team.

SUMMARY OF THE ROLE:

Responsible for assisting the Corporate Environmental Health & Safety Manager with initiation and coordination of the clerical and administrative functions within the Company. Additionally, this role will be responsible for assisting corporate safety staff as well.

KEY RESPONSIBILITIES AND/OR SERVICES PROVIDED:

Primary Duties Relating to WSIB Claims Management

  • Record new information in employee files using Intelex
  • Upload training records to Intelex
  • Schedule and monitor training expiry
  • Maintain MSDS online application
  • File all WSIB, COR and ISO documents into DocuShare and other documents in filing cabinets
  • Archive documents, as needed
  • Communicate with site personnel when records submitted are not adequately completed
  • Enroll workers in training and provide login information
  • Create purchase orders for training through third party providers
  • Maintain floor plan and head count checklists for head office
  • Assist Area administrators with various items that arise throughout the week
  • Provide support to project sites, as requested
  • Provide and maintain documentation for site use with current revision levels
  • Provide and receive information from customers and project sites
  • Book meetings
  • Arrange, participate in, and organize conferences and meetings, as required
  • Use various software programs
  • Maintain filing systems, indices and directories
  • Perform filing, faxing and prepare memos, email and letters, as directed, including the filing of correspondence and internal documentation
  • Use various software applications to assemble, manipulate and/or format data and/or reports
  • Ensure Corporate Environmental Health & Safety Manager is kept up to date
  • Prepare and distribute start up packages for jobsites and keep the location matrix current
  • Ensure Environmental H&S Manager sees all correspondence coming in from any legislative party
  • Conduct research, as directed, and share the information with the Environmental H&S Manager and staff
  • Provide assistance with the pre-qualification process for the organization
  • Ensure responsibilities and accountabilities are carried out in a safe manner in accordance with E.S. Fox Limited Environmental Health and Safety Management System and OHSA requirements
  • Ensure that environmental aspects within their sphere of responsibility are adhered to pursuant to ISO 14001 requirements

Executive Support / Clerical Duties

  • Maintain head office layout map
  • Arrange all external training company wide
  • Upload all internal training certificates into Intelex
  • Complete Insurance Certificate requests in ISNetWorld site

  • Superior organization and time management skills and keen attention to details are essential

EDUCATION REQUIREMENTS:

  • Completion of a secondary school diploma
  • Degree/diploma in Business Administration is an asset

SPECIFIC EXPERIENCE AND SKILLS:

  • Previous administrative experience working within a construction or industrial environment is preferred
  • Proficiency in the use of Microsoft Office (Word, Excel, Outlook) and Adobe programs
  • Strong written and verbal skills
  • Works well under pressure in a fast-paced, deadline-driven environment and can prioritize work with a sense of urgency
  • Experience in occupational health and Safety
